  • Attend to walk-in visitors and ensure visitors are registered in the iPad upon arrival at our premise and swipe out when they leave our office. A visitor card and safety booklet have to be given to the visitor upon signing in and return upon signing out.
  • Ensure all reading materials displayed at the Front Office Reception and meeting rooms are always up-to-date and the place is always kept clean and tidy.
  • Verify all parcels/documents from couriers, record them and ensure items are delivered to the respective personnel.
  • Verify and code all Admin-related invoices on Eye share for payment.
  • Handle and manage all meeting room reservations.
  • Coordinate all local courier tasks and ensure that jobs are picked up and delivered on time. File all local couriers and DHL consignment notes for verification purposes.
  • Inform tea ladies on daily meeting schedules to ensure that meeting rooms are ready for usage.
  • Ensure all glasses/cups are cleared from the meeting room after each meeting.
  • Prepare and submit a monthly report on every month-end.
  • Prepare monthly reception duty roster and ensure there is always a stand-in during the receptionist’s absence.
  • Manage and update Admin intranet to ensure that all information uploaded are accurate and updated.
  • Ensure employees’ list is updated on the IPad “live” each time a staff joins or leaves the organization.
  • Compile SingTel rebate report on a monthly basis.
  • Opening all incoming mails on a daily basis.
  • Assist in ad hoc assignments

Education and Qualification

  • At least 3 years of customer service/receptionist and administrative working experience.
  • Proficient in PC skills
  • Ability to work in fast pace environment and strong organisational skills
  • Customer-oriented and can work well under pressure
  • Detail and good with figures
